Reception and approval

What a visitor fills in at the entrance, the privacy notice and visit terms, automatic or host approval, the waiting room and every action a host can take.

Every Office and Event Visitor passes through a reception before entering your HyoNova world. It tells them whose company they are visiting, asks only what you need, and records their agreement to the visit terms.

The entrance#

The visitor sees your company name, the purpose of the visit (or the event's name and times) and the name of their host. They fill in:

FieldAsked
NameAlways
Email, Company, Phone, Job title, PurposeOnly the fields your company or the link asks for

Events ask what the event's registration asks for. HyoNova keeps only the fields that were asked; anything else a browser sends is dropped.

Privacy notice and visit terms#

Office and Event Visitors must accept the privacy notice and the visit terms before entering. Without it they cannot enter. Meeting Guests follow the meeting's own entry screen.

Approval modes#

ModeWhat happens
AutomaticThe visitor is admitted as soon as they complete the reception (if a Visitor Pass is available).
Host approvesThe visitor waits in the waiting room until the host decides.

Each visitor link sets its own mode with Host approves each visitor (on at first for Workspace visitor and Collaborator links), and each event chooses Automatic or The host approves each attendee.

Default admission in Visitor settings applies to office visitor links created without a choice of their own — for example through the API: with The host approves each attendee chosen there, such links wait for the host. The link form in the app always sends its Host approves each visitor box, so for links made in the app that box decides.

The waiting room#

A visitor waiting for approval sees that their host has been told they are at the door. The page updates by itself — they do not need to reload. When the host approves, they enter on their own; if the host declines, they are told they cannot enter with this link now.

Waiting costs nothing. The Visitor Pass is used only when the host approves.

What the host can do#

ActionWhereEffect
ApproveOffice notifications, or the visits listAdmits that one visitor and uses one Visitor Pass
DeclineSame placesThe visitor cannot enter; no pass is used
End visitVisits listRemoves the visitor now; the visit stays in history
Revoke linkLinks listNobody else can arrive with it; everyone inside with it leaves
Promote to employeeVisits list (owners and admins)Turns the visitor into a member; see Guest links

Approving one visitor never admits others who used the same link; each waits for their own decision. If no Visitor Pass is left when the host approves, the visitor is not admitted and the host sees that passes are needed. See Visitor Passes.

When the company is not receiving visitors#

A visitor sees that the company is not receiving visitors right now when:

  • the company's plan does not include Office or Event Visitors;
  • an owner, admin or manager switched Office Visitors off, or used the emergency stop;
  • the company has no Visitor Pass left;
  • an event is not open yet (doors open 30 minutes before the start) or has ended.
