Google Drive and OneDrive files
Link files that stay in Google Drive or OneDrive to projects, tasks and customers — personal and company connections, what HyoNova can see, and how to disconnect.
On this page
HyoNova must set up its Google application before anyone can connect.
With Google Drive or Microsoft OneDrive connected, you can link a file that lives there to a project, a task or a customer in HyoNova. The file is not uploaded and not copied: "These files live at the provider. HyoNova keeps a link, never a copy." Opening a linked file opens it at Google or Microsoft.
Linked files and uploaded files#
| Uploaded to HyoNova | Linked from Drive or OneDrive | |
|---|---|---|
| Where the file lives | In HyoNova Files | At Google or Microsoft |
| What HyoNova stores | The file | The file's name, type and identifier at the provider — no contents |
| Who can open it | Members with permission to read files | People who have access to the file at the provider |
| Counts against company storage | Yes | No |
Linking a file does not share it. If a colleague opens a linked file they have no access to at Google or Microsoft, the provider refuses, exactly as it would outside HyoNova. Share the file at the provider first.
Connect an account#
A connection is either yours or the company's. See Personal and company connections.
Your own account#
- Open Files. In the company workspace, select Files, then the tab Linked from Drive and OneDrive.
- Choose Connect my account under Google Drive or Microsoft OneDrive.
- Approve at the provider. HyoNova takes you to Google or Microsoft, where you sign in and approve the request. Read What HyoNova can see first.
- Come back. HyoNova shows Finishing the connection and then that the provider is connected.
"Your personal connection is yours: managers and owners cannot use it or see the account."
A company account#
An Owner or Admin opens Company administration › Integrations, opens the Google Drive or Microsoft OneDrive card and chooses Connect a company account. Use an account that belongs to the company, not to one person. People who manage integrations can then pick files with it.
If the connection does not finish#
| Message | What happened |
|---|---|
| You declined the request at the provider. Nothing was connected. | You chose to cancel at Google or Microsoft |
| That took too long. Start the connection again. | The connection must be finished within ten minutes |
| This return link was already used or is not valid. Start the connection again. | A return link works once |
| The file permission was not granted. Start again and keep the permission ticked. | The file permission was unticked on the provider's screen |
| The provider did not grant ongoing access. Start again and approve the request. | The provider returned no lasting authorisation |
Only the person who started a connection sees its outcome.
Link a file#
Linked files appear in four places: the Linked from Drive and OneDrive tab in Files, a project's Files tab, a task's Files tab, and a customer's panel.
- Open the project, task or customer the file belongs to.
- Choose Add from Google Drive or Add from OneDrive. If you can use more than one account, Choose the account.
- Pick the file.
- Google Drive: Google's own file window opens. "Choose the files in the Google window. They appear here when you finish." If nothing opens, your browser blocked the window: allow pop-ups for HyoNova and try again.
- OneDrive: HyoNova's dialog Choose a file from OneDrive opens. Browse from My files, or use Search OneDrive, and choose Link on the file.
- Find it in the list. The file appears with Linked from Google Drive or Linked from OneDrive, who linked it and what it is linked to.
You need permission to add files, and to see the project, task or customer you link to. Restricted members cannot link files.
Work with linked files#
- Open in Google Drive or Open in OneDrive opens the file at the provider, in a new tab.
- Check file asks the provider whether the file is still there.
- Remove link removes the link from HyoNova. "The file itself is not touched." The person who linked a file can remove its link; so can people who manage integrations or who may delete files.
Each linked file shows whether it can still be reached:
| State | Meaning |
|---|---|
| Available | The connected account can read the file |
| No access | The connected account can no longer read this file |
| Deleted at the provider | The file was deleted or moved to the bin at the provider |
| Sign in again to check | The provider no longer accepts the stored authorisation |
| Account disconnected | The account this file was linked with was disconnected. The link stays until you remove it |
HyoNova never shows a file as available on the strength of an old check: when the authorisation stops working, its files are marked accordingly.
What HyoNova can see#
| Provider | The permission you grant | What it means |
|---|---|---|
| Google Drive | Access to the files you pick, and your email address to name the account | "HyoNova can only reach the Drive files you pick. It cannot browse the rest of your Drive." |
| Microsoft OneDrive | Read access to your files, and your basic profile to name the account | "Microsoft grants read access to your files as a whole. HyoNova only lists what you browse here and only stores the files you link." |
Be aware of the difference. Google grants access file by file. Microsoft has no per-file permission for this kind of connection, so the OneDrive permission covers reading all of the signed-in person's files; HyoNova asks Microsoft only about the folders you open in the dialog and keeps only the files you link.
In both cases HyoNova cannot change, move or delete a file, does not download or copy file contents, and does not create sharing links. Linked files are not searched by content and are not read by Serene.
Show technical details
- Google: the scopes are
openid,emailanddrive.file.drive.filegives access only to files the person opens with the app through Google's picker. Connecting Drive is separate from signing in with Google and from connecting a Google mailbox; none of them widens another. - Microsoft: the delegated permissions are
openid,email,offline_access,User.ReadandFiles.Read. There are no application permissions and no write permission. HyoNova uses its own browse dialog, not Microsoft's hosted file picker. - The provider's authorisation is kept in HyoNova's secret store, never in the company's data tables or in logs.
Sign in again, pause and disconnect#
- Sign in again — shown when the provider no longer accepts the stored authorisation, for example after you withdrew HyoNova's access at Google or Microsoft. Sign in again to restore the links.
- Check connection — makes one real call to the provider and updates the state.
- Pause and Resume — stop and restart a connection without removing it.
- Disconnect — "HyoNova forgets the authorisation. Your files and repositories at the provider are not touched." Linked items stay listed in HyoNova and are marked as disconnected until you remove them.
You can also withdraw HyoNova's access at any time from your Google or Microsoft account's own security settings. HyoNova then shows Sign in again.
When a member is removed from the company, HyoNova disconnects that member's personal connections by itself within a few minutes. The files they linked stay listed and are marked as disconnected.
Limits#
Your plan can limit the number of connected accounts and of linked files. When a limit applies, the card shows how much is used.
What this does not do#
- It does not upload, sync or back up Drive or OneDrive files into HyoNova.
- It does not preview files inside HyoNova.
- It does not let HyoNova browse a Google Drive: only the files you pick are reachable.
- It does not change who can open a file at the provider.
Status#
| Feature | Status | Notes |
|---|---|---|
| Google Drive files | Requires setupBuilt, but works only after a supporting service is configured for your workspace. | Link the Drive files you pick to projects, tasks and customers. Files stay in Google Drive; HyoNova keeps a link, never a copy. HyoNova must set up its Google application before anyone can connect. |
| Microsoft OneDrive files | Requires setupBuilt, but works only after a supporting service is configured for your workspace. | Link chosen OneDrive files to projects, tasks and customers. Files stay in OneDrive; HyoNova keeps a link, never a copy. HyoNova must set up its Microsoft application before anyone can connect. |
| Integration Hub | BetaWorks today in early-access workspaces. Behaviour and limits may still change. | One page in Company administration for the tools your company connects, each card showing what is really connected. |
