A meeting in HyoNova is a call with several people, with a waiting room, chat, notes and files. You can start one from a meeting room in the office, so the meeting has a place, or from the meetings panel.

Who can hold a meeting#

  • Owners, admins, managers and employees can create meetings and invite colleagues.
  • Restricted members cannot create or join meetings.
  • Host controls — letting people in, muting, changing roles, locking and ending — need the permission to moderate meetings, which owners, admins and managers have.

Two ways to start#

Meet here, from a meeting room#

This is the natural way in the office: walk to a meeting room with the people you want to meet.

  1. Go to a meeting room. Walk there, or open the Map, find the room under Rooms and choose Go there.
  2. Choose Meet here. Inside the room, the prompt shows the room name, its seats and Meet here. You can also choose Meet here on the room in the map.
  3. Create or join. The meetings panel opens for that room. Start a meeting, or join the one already running there.

New meeting, from anywhere#

  1. Open the meetings panel. In the office, choose More › Meetings & calls. In the company workspace, open Meetings and choose Open meetings.
  2. Choose New meeting. Enter a Meeting title, and optionally a Description and an Agenda.
  3. Now or later. Leave Start time (leave empty to start now) empty to meet now, or set a time.
  4. Invite colleagues. Select people under Invite colleagues.
  5. Create it. Choose Create meeting, or Schedule meeting if you set a time.

Invited people see the meeting in their list and can reply Attending, Maybe or Not attending. HyoNova does not send calendar invitations or reminders yet.

During the meeting#

  • Joining. Join meeting always starts with your microphone and camera off. Check them first under Devices with Test microphone and Preview camera if you like.
  • Waiting room. People who arrive wait until the host chooses Let in or Deny.
  • Controls. Mic, Start camera, Share screen, Raise hand, Leave, and Hold to talk. Choose a layout: Spatial, Grid, Speaker or Presentation.
  • Tabs. Chat for messages saved with the meeting, People, Notes, and Files — Attach a file (up to 10 MB).
  • Hosting. Mute a participant, Lock meeting, and End for everyone when you are done.

If the meeting is linked to a room, a shared screen also shows on the screens in that room in the office.

Turn notes into tasks#

This is where meetings connect to your work:

  1. Write notes. In Notes, capture decisions under Meeting notes & decisions, then choose Save notes.
  2. Create an action item. As host, type an action item — Create a Work task from this meeting — and choose Create task.
  3. Find it in Work. The task appears in Work, where it can be assigned and tracked.

Limits today#

  • Up to 100 participants per meeting; the default policy allows 25.
  • No calendar invitations, reminders or recurring meetings.
  • Meeting guests from outside the company are not available from the interface yet.
