In this tutorial you invite your first colleagues, make sure each one receives a working link, and follow them until they are members of your company. You can invite from the company workspace or from inside the office — both create the same kind of invitation.

Before you start#

  • Your role. Only owners and admins can invite members. Managers, employees and restricted members do not see the invite form.
  • Seats. Each member uses one seat of your plan. When all seats are used, new invitations are refused. See Billing and plans.
  • Roles. Decide which role each person gets. If you are not sure, use Employee. See Configure roles and permissions.

Step 1: Create the invitation#

From the company workspace#

  1. Open People. In the company workspace, select People.
  2. Choose Invite employee. Under Invite, keep the Invite employee choice selected.
  3. Enter the details. Type the colleague's Full name and Their work email.
  4. Pick a role. In Role, choose Owner, Admin, Manager, Employee or Restricted. You only see roles you are allowed to grant: an admin cannot make someone an owner.
  5. Create the link. Choose Create invitation link. The message Invitation link created. Copy it now — it will not be shown again. appears with the link.
  6. Copy the link. Copy it before you leave the page.

From inside the office#

  1. Open People. Select People on the left rail.
  2. Choose Invite. Select Invite at the top of the sheet. The Invite employee tab is selected.
  3. Fill in the form. Enter Full name, Their work email and Role, then choose Invite.
  4. Copy the link. The dialog shows Invitation created, the email status and the link. Choose Copy invitation link.

HyoNova tries to email every invitation. The Email status next to the invitation shows what happened, for example Queued, Sent, Delivered, Bounced or Manual link.

If you did not copy the link in time, find the invitation in the list under Invitations (company workspace) or Pending invitations (office) and use one of these:

ActionWhat it does
Copy invitation linkCopies a working link for the invitation, when it is offered.
Resend emailQueues the invitation email again.
New linkCreates a new link. The old link stops working.
RevokeCancels the invitation. The link stops working.

For bounced or blocked addresses, see Email delivery.

Step 3: Your colleague joins#

Tell your colleague what to expect when they open the link:

  1. The invitation page opens. It says You are invited to join followed by your company name, and shows the address the invitation was sent to, partly hidden.
  2. They set or enter a password. New to HyoNova: Create a password for your account with at least 8 characters, and repeat it in Confirm password. Already have a HyoNova account: Enter your account password.
  3. They accept. They choose Accept and continue.
  4. They set up. They go through Your profile, Your character and Microphone and camera, then choose Enter HyoNova to walk into the office.

They must accept with the same email address the invitation was sent to. An invitation stays valid for 7 days. After that, create a New link.

Step 4: Check who has joined#

  • In People, the directory lists every member with their role and status. Under Invitations, an invitation your colleague has used shows Invitation: Accepted; one still waiting shows Pending.
  • In the office, a used invitation leaves the Pending invitations list of the People sheet.
  • On Home, owners and admins see Company overview with the number of members and pending invitations.
  • The People sheet in the office also shows how many members there are and how many are online.

Tips#

  • Start small. Invite a few colleagues first, hold a meeting together, then invite the rest.
  • Give the lowest role that works. You can raise a role later. See Configure roles and permissions.
  • Don't share invitation links in public places. Anyone with the link can see the invitation page, although only the invited address can accept it.
  • Visitors don't need an invitation. For clients or candidates who only visit your office, use a guest link instead of a member invitation.
