Seats, trial and the Free plan

HyoNova bills per licensed seat: you pay for the seats your company has, not for how many minutes people are active. This page explains who counts as a seat, how the trial and the Free plan work, and what happens to your bill when the team changes.

Who is a licensed seat#

A licensed seat is an internal member of your company who holds an assigned seat and whose membership is active, invited or pending. A pending invitation therefore uses a seat until it is accepted or revoked.

These people are never seats:

• guests in your office worlds and guests in meetings;
• external recipients who sign or review documents through HyoNova Sign;
• customers who chat with your team through HyoNova Support web chat;
• removed and suspended members.

Company administration › Billing › Seats shows the seats in use. On a paid plan your bill follows the number of seats; on Free the number of seats is capped at 10.

The 7-day Business trial#

Every new company starts on a 7-day trial of the Business plan. No card is needed and nothing is charged.

• During the trial your company uses the full Business workspace, with the Free promotional capacity: 500 Mail credits, 2 Sign envelopes and 250 Serene credits, granted once to every company. Paid-plan capacity — the larger promotional Mail and Sign amounts and the monthly included Serene credits — is granted only after a verified payment.
• Three days before the trial ends, the people who manage billing get a reminder.
• You can choose a paid plan at any time during the trial. See Subscription and plan changes.

When the trial ends#

HyoNova never charges you when a trial ends. What happens depends on how many seats your company has:

People who manage billing are told by notification and email when the trial ends and what happened.

The Free plan#

Free is for small teams of up to 10 licensed members. It includes one office world, 5 GB of storage in total, meetings of up to 30 minutes, the one-time promotional Mail, Sign and Serene capacity, and no meeting recording. See the plans.

• Inviting an eleventh member is refused with Your company has used all of its seats. Revoke a pending invitation, remove a member or move to a paid plan.
• A paid subscription that ends — cancelled, or after a trial — continues on Free if the company has 10 seats or fewer.

Adding and removing seats on a paid plan#

Before you confirm a new member or a removal, HyoNova shows what it does to your bill: the seats before and after, the price per seat, and an estimate for the rest of the current period.

• A seat freed during the period can be given to a new member without paying again.
• HyoNova never removes a member because of billing. If the payment provider cannot be reached when seats change, HyoNova tries again later.
• Self-service checkout is for companies below the Enterprise threshold (100 seats by default). Larger companies are served by Enterprise through HyoNova sales.
