This guide is for anyone asked to sign, approve or review a document through HyoNova Sign. You do not need a HyoNova account. The signing page works in English and Arabic, right to left in Arabic, on phones, tablets and computers.

Two ways to sign#

  • From the email. Open the invitation and choose the button to review the document. This is how people outside the company sign. The link is personal: do not forward it.
  • Inside the workspace. If you are a member of the company, requests waiting for you appear on Home, in Sign › Waiting for me and in the Sign panel of the office world. Choose Review & sign (or Review & approve). You are already signed in, so no link or code is needed.

Sign step by step#

  1. Open the link. The page shows who sent the request and from which company, and Secure signing by HyoNova Sign.
  2. Confirm it is you — only if the sender asked for an email code. Choose Send code, then type the 6-digit code from your email and choose Confirm.
  3. Read the disclosure. The Electronic signature disclosure explains that you are signing electronically. Tick I have read the disclosure above and choose Continue.
  4. Review the documents. Read every page. If there are several documents, the page shows Document 1 of 3 and so on.
  5. Fill in your fields. Next required field takes you to each field you must complete. The counter shows how many required fields are done.
  6. Adopt your signature. Tap a signature field (Tap to sign) and choose how to sign, then Adopt and sign.
  7. Finish. Choose Finish. By selecting Finish you apply your electronic signature to the documents shown.

When you are done, the page shows You are done. You receive an email when all recipients have finished.

The email code#

When the sender chose Secure link + email code, you need a one-time code sent to the email address the invitation went to.

  • The code has 6 digits and expires 10 minutes after it is sent.
  • You have 5 attempts. After that, ask for a new code.
  • You can ask for a new code after a minute with Send a new code.
  • Did not receive it? Check your spam folder. The code goes only to the address the request was sent to.

Your signature#

MethodHow
DrawDraw with your finger, a stylus or the mouse. Clear starts again
TypeType your name as you sign it
UploadA PNG or JPG image of your signature, up to 512 KB. It is re-encoded before use

Initials work the same way. Your adopted signature is applied to your signature fields on this request only.

Decline to sign#

If you do not agree, choose Decline to sign. You can give a Reason; the sending company may require one. The sender is told, and the request stops for everyone. You cannot sign a request after declining it.

After signing#

  • When everyone has finished, you receive an email that the request is completed. If your company allows it, you can download the signed copy with Download signed copy.
  • The signed documents carry a HyoNova Sign reference, and the certificate of completion has a QR code that leads to the public verification page.

Privacy#

  • The link opens only the documents of this request, and only for you.
  • Your link and any code are never stored in readable form, and links expire.
  • HyoNova Sign is an electronic signature service. It does not verify government identity.
