Manage a project from start to finish
Run a project in HyoNova Work — team, milestones, tasks, dependencies, board, comments and files, timeline, team workload and reports — until it is complete.
On this page
In this tutorial you run a small project in HyoNova Work from the first idea to the last task: you set up the project and its team, plan milestones and tasks, connect tasks that depend on each other, move work on the board, keep the conversation on the tasks, follow progress and close the project. The example is a website refresh, but the steps are the same for any piece of work.
Before you start#
| Role | What they can do in this tutorial |
|---|---|
| Owner, Admin, Manager | Everything: create and edit the project, add anyone to the team, assign tasks to anyone, see Team and open Reports. Owners and admins can also archive. |
| Employee | Create and edit projects and tasks, add milestones and dependencies, take tasks themselves and add themselves to a team. They cannot assign work to others or see Team. |
| Restricted | See tasks only. |
Step 1: Create the project#
- Open Projects. In the company workspace, select Work › Projects, then New project.
- Describe it. Enter "Website refresh" as the Project name, a short Description of the goal, a Start date and the launch day as Due.
- Create it. Select Create project. You land on its Overview as Project owner.
If the work is for a customer, select Edit project and choose the Customer and Deal (owners and admins see these fields). If your team will work from a room in the office, choose a World and Project room too.
Step 2: Build the team#
In Project team, select Add member for each person who will work on the project. Each one gets a notification, and the project's tasks appear in their Team tasks view.
Step 3: Plan milestones#
Milestones are the checkpoints everyone can see: "Content ready", "Design approved", "Launch". In Milestones, select New milestone for each, with a Name and a Due date. A milestone turns In progress when its first task is done and Overdue if its date passes before you complete it.
Step 4: Break the work into tasks#
From the overview (Add task), the List tab or a board lane, create one task per piece of work — "Write new homepage copy", "Choose photos", "Build pages", "Review with sales".
- Name and assign. Enter the Task name and choose the person in Assign to. Employees can only choose Me and see "You can take tasks yourself; your manager assigns work to others."
- Date it. Set Due, and under More options a Start date, so the task appears on the timeline.
- Place it. Under More options, choose the Milestone and a Priority. Use Urgent sparingly so it keeps its meaning.
- Split it if needed. Open the task and use Subtasks › Add subtask for the small steps.
Step 5: Connect tasks that depend on each other#
"Build pages" cannot start before the copy and photos are ready. Open "Build pages", go to Dependencies and select Add dependency for each task it waits on. The task now shows Waiting on 2. Open the Flow tab to see the chain as a graph, and add or remove dependencies there. HyoNova refuses loops, and dependencies must stay inside the project.
When the last task it waits on is completed, the assignees of "Build pages" get a dependency is done; your task is ready. The status does not change by itself; they start it when they are ready.
Step 6: Run the work on the board#
Open Board. Each morning the team drags cards from Open to In progress; when something gets stuck, its card goes to Blocked — its assignees are notified, and owners, admins and managers see it under Needs attention on Home. When a task is done it moves to Completed, which notifies the person who created it.
Everyone also sees their own tasks in My Work and gets reminders for tasks due today or tomorrow and for overdue tasks.
Step 7: Keep the conversation on the task#
Instead of separate messages, use the task itself:
- Comments for questions and decisions. Owners, admins and managers can type @ to mention someone, who is notified.
- Files › Attach file for drafts and photos (up to 10 MB). Every attachment is also listed in the project's Files tab.
- Labels such as "copy" or "design" to group tasks at a glance.
- Activity to see who changed what.
Step 8: Follow progress#
- Overview — Overall progress (completed tasks ÷ all non-cancelled tasks), the Task summary and Upcoming work.
- Timeline — the plan by date, with milestones and dependencies. Change a task's dates in its panel if the plan moves.
- Calendar — due dates across all your projects.
- Team (owners, admins and managers) — open, blocked and overdue work per person, without scores.
- Reports — tasks completed, the on-time rate and project delivery for the last 30 days to a year. See Reports.
Step 9: Close the project#
When the last milestone is reached, select Complete on it in Milestones. Then open the status chip next to the project title and choose Move to › Completed. The project stays in Projects under Completed, with its tasks, files and activity, and can be made Active again if more work comes up.
