Calendar & Bookings
Let customers and visitors book time with your team — booking types, member availability, a public booking page, a website widget and bookings in the work calendar.
On this page
Bookings lets people outside your company book time with your team: "Appointments visitors book with your team, your own appointments and the hours you can be booked in." You describe what can be booked, each member sets the hours they can be booked in, and visitors choose a free time on a public page or on your own website. They do not need a HyoNova account.
What it includes#
| Part | What it does | Read more |
|---|---|---|
| Booking types | The services visitors can book: how long each takes, who hosts it and where it happens | Booking types and availability |
| Availability | Each member's weekly hours and dated exceptions, in their own time zone | Booking types and availability |
| Booking page | A public page at a HyoNova address where visitors choose a service and a time | The booking page |
| Private link | The visitor's own link to view, move or cancel their booking | The booking page |
| Website widget | The same booking form inside your own website, only on the websites you allow | Website widget |
| Bookings list and calendar | Every booking with its visitor, host and state, and a bookings layer in Work › Calendar | Manage bookings |
How a booking happens#
- A booking manager publishes a booking type. For example a 30-minute intro call hosted by two people who take turns.
- Hosts set their hours. Until a member saves hours of their own, the company's working hours apply.
- The visitor opens your booking link or the widget on your website, chooses a service, a day and a time, and enters their name and email.
- HyoNova places the booking. It checks the time again at that moment, so two visitors can never take the same time with the same host.
- The host is notified inside HyoNova, and the booking appears in Bookings and in the calendar. The visitor gets a private link to view, move or cancel the booking.
- For an online booking, HyoNova creates a meeting. The visitor enters it from their private link as a meeting guest.
One time is never booked twice#
A host's time is protected in the database itself, not only by the page the visitor sees. When two people try to take the same time at the same moment, exactly one booking is created; the other visitor reads That time was just taken. Please choose another one. Moving a booking follows the same rule: if the new time cannot be taken, the booking stays where it was.
A time is offered only when the host is free: inside their hours, not in another booking or its gaps, not in a meeting they take part in, and not on a day of approved leave.
Who can do what#
| Role | In Bookings |
|---|---|
| Owner, Admin, Manager | Booking managers: create and edit booking types, set up the booking page and the widget, see everyone's bookings, and set the hours of any member |
| Employee | Their own bookings and appointments, their own hours, and the booking types they host with their public links |
| Restricted | Bookings is not shown |
Visitor details — name, email, phone, company and notes — are shown to the booking's host and to booking managers only. Other members see Hidden.
Open Bookings#
In the company workspace, select Bookings in the sidebar, in the Customers group. The area has up to four tabs: Bookings, Booking types, Availability and, for booking managers, Page & widget.
When something stops online bookings from working fully, a notice titled Online bookings need attention explains it in one sentence — for example that meetings are switched off for your company, that external guests may not join meetings, that confirmation emails are not being sent right now, or that a host may not create meetings.
How Bookings connects to the rest of HyoNova#
| Connection | How it works |
|---|---|
| Meetings | A booking that takes place in a HyoNova meeting gets a normal meeting. Moving the booking moves the meeting; cancelling it cancels the meeting |
| Work calendar | Bookings and your own appointments appear as the Bookings layer |
| Customers | A booking can be linked to a customer by a member. A visitor is never attached to an existing customer because of the email they typed |
| Tasks | Create follow-up task on a booking creates a task for the follow-up |
| Notifications | The host is notified in HyoNova. Booking events can also be sent to Slack or Microsoft Teams, without the visitor's name |
Plan limits#
Your plan can limit the number of booking types, of bookable members and of bookings per month, and decides whether the website widget is included. The Booking types tab shows what is used. When a limit is reached, HyoNova says so: Your plan’s limit is reached (booking types, bookable members or bookings this month). See Plans & billing.
What Bookings does not do#
- It does not sync with Google Calendar or Outlook Calendar. A host is busy only for what HyoNova knows: bookings, HyoNova meetings and approved leave.
- It does not take payment for a booking.
- Bookings are not listed in the company search. The Bookings pages are; the bookings themselves are found in the Bookings tab.
- There is no public API for bookings.
