Payments are recorded by hand. HyoNova does not collect money from your customers.

HyoNova does not collect money from your customers. When a customer pays you — by bank transfer, cash, card terminal or any other way — you record the payment in Finance against the invoice it pays. Receivables then show what is still owed.

Record a payment#

  1. Open the invoice. In Finance, open an issued invoice that still has an amount outstanding.
  2. Record the payment. Enter the amount received, the currency and a reference (for example the bank transfer reference, 3 to 180 characters).
  3. Check the result. The invoice becomes Partially paid while money is still owed, and Paid when the payments equal the total.

Rules HyoNova enforces:

  • The invoice must be issued (or partially paid or overdue). Drafts, cancelled, void and paid invoices cannot take payments.
  • The payment currency must be the invoice currency.
  • A payment cannot be more than the amount outstanding. Record overpayments outside HyoNova.
  • Each payment is linked to its invoice and to the customer, and is restricted like the invoice.
  • Recording a payment does not create an accounting entry: HyoNova keeps no journals for it.

Receivables#

Receivables in Finance shows how much customers still owe on issued invoices, as of today, grouped by how long past the due date:

BucketMeaning
Not yet dueThe due date has not passed
1–30 days1 to 30 days past the due date
31–60 days31 to 60 days past the due date
61–90 days61 to 90 days past the due date
Over 90 daysMore than 90 days past the due date
  • Outstanding = invoice total minus the payments recorded against it.
  • Draft, void and cancelled invoices are not counted; fully paid invoices drop out.
  • Each currency is shown separately; HyoNova never converts between currencies.

The Received figure for this month on Finance and in Reports is the total of the payments you recorded.
