A booking type is one thing a visitor can book, such as an intro call or a consultation: "What visitors can book: how long it takes, who hosts it and where it happens." Availability is when each host can be booked. Together they decide which times a visitor is offered.

Create a booking type#

  1. Open the booking types. Go to Bookings › Booking types and choose New booking type.
  2. Name it. Enter the Name and the Link name — the last part of the public link, in lowercase letters, numbers and dashes.
  3. Set the time. Choose the Duration (minutes), how often a start time is offered (Start times every), and the gaps and notice described below.
  4. Choose who hosts and where it takes place.
  5. Decide what the visitor is asked and whether they may cancel or reschedule.
  6. Set the status and create it. A new type starts as Draft; set the status to Published when visitors should be able to book it. Then choose Create booking type.

Who hosts#

Who hostsWhat happens
One hostEvery booking goes to the same person
Hosts take turnsEach booking goes to the free host who waited longest

Any active member who can use Bookings can be a host. Your plan may limit the number of bookable members.

Where it takes place#

Where it takes placeWhat the visitor gets
HyoNova meetingA meeting is created for the booking; the visitor enters it from their private link
Phone callYour Phone instructions
In personThe address or instructions you enter
OtherThe instructions you enter

A booking in a HyoNova meeting needs meetings to be on for your company, a host who may create meetings, and a meetings guest policy that allows external guests. Otherwise the booking still stands, and the visitor reads that the organiser will send the meeting link. See Meetings.

Confirmation#

  • Automatic — a booking is confirmed as soon as it is made.
  • The host confirms each request — the time is held until the host confirms or declines. The visitor sees Your request was sent.

What the visitor is asked#

A visitor always enters their full name and email. For Phone, Company and Notes, choose Not asked, Optional or Required.

Cancelling and rescheduling by the visitor#

Turn Visitors may cancel and Visitors may reschedule on or off, and set how long before the start each is still allowed (Cancel at least (minutes before), Reschedule at least (minutes before)). 0 means until the start time. Outside these rules the visitor reads This booking can no longer be changed online. Contact the company.

Draft, published and disabled#

StatusMeaning
DraftNot visible to visitors yet
PublishedVisitors can book it on the booking page and the widget
DisabledTakes no new bookings; existing bookings stay

Each type shows its Duration, Hosts, Upcoming bookings and its public link with Copy and Open. Until the type is published, the link does not open for visitors.

Archiving a type stops new bookings and its link stops working. Existing bookings stay in the calendar.

Availability#

Open Bookings › Availability. Every member sets their own hours; a booking manager can choose another member under Hours of and set theirs.

Weekly hours#

"The hours visitors can book you in, every week."

  • Choose your Time zone. The hours on the page are read in this time zone.
  • For each day, add one or more periods with Add hours, or leave the day as Not available.
  • Choose Save hours.

Until you save hours of your own, you follow the company's working hours. Use company hours returns to them.

Dated exceptions#

"Single days with different hours, or days you cannot be booked." Choose Add exception, pick the Date, and choose Not available or Different hours. You can add a note for yourself.

Time zones#

Hours are kept in the time zone you chose, by its region name, and visitors see times in their own time zone. On the day the clocks change, the day has an hour less or more, and a local time that does not exist that day is never offered.

What makes a time free#

A start time is offered to visitors only when all of these are true for at least one host of the type:

  • it is inside the host's weekly hours, or the hours of a dated exception for that day;
  • the booking and its gaps do not overlap another booking of that host, or one of the host's own appointments;
  • the host is not in a HyoNova meeting at that time;
  • the host is not on approved leave that day;
  • it respects the type's minimum notice and how far ahead it can be booked.

The public page shows only the start times. It never shows which host is busy or why a time is missing.

Limits#

The Booking types tab shows the plan's usage: Booking types, Bookings this month and Bookable members. When the limit for booking types is reached, HyoNova reads: Your plan’s limit for booking types is reached. Archive a type or change the plan to add another.
