Visitor Passes

A Visitor Pass admits one Office Visitor or one Event Visitor into your HyoNova world. It is a prepaid credit of your company's billing wallet, like other HyoNova credits: you buy it before you use it, and HyoNova never charges for visitors afterwards.

Price and packs#

One Visitor Pass costs $1. Passes come in packs of 10, 25, 50, 100, 250, 500 or 1,000, so a pack of 100 costs $100. The price your company pays is the one shown at checkout.

When a pass is used#

A pass is used at the moment of admission, in the same step that lets the visitor in:

• Automatic admission — when the visitor completes the reception and enters.
• Host approval — when the host approves the waiting visitor.

The admission and the pass are recorded together: a visitor is never admitted without a pass, and a pass is never used for a visitor who was not admitted. If the same admission is sent twice (for example after a network retry), only one pass is used.

When no pass is used#

• Waiting, declined, never approved — nothing is used.
• Re-entry during the visit — reloading the page, losing the connection or coming back to the same visit while it is still running uses nothing more. See Visit sessions.
• Event no-shows — registering or being invited costs nothing; only admission does.
• Meeting Guests — people who join one meeting only never use a pass.

Automatic refunds#

If a visitor is admitted but never actually reaches the world — the browser closed, the device could not load the office — HyoNova gives the pass back automatically about 15 minutes later. The visit history shows such a visit as refunded. A visitor who did reach the world has used their pass, even for a short visit.

When no passes are left#

When your company has no Visitor Pass available:

• the next Office or Event Visitor is not admitted, and sees that the company cannot receive visitors right now;
• a host who approves a waiting visitor sees No Visitor Passes available — buy passes, or invite the guest to a meeting instead. with Buy passes; with automatic admission, the host and access managers who are in the office see the refused visitor's name in Notifications, with the same way to buy passes;
• visitors who are already inside are not affected;
• nothing is charged later — HyoNova never admits on credit or creates a debt for visitors.

The host can ask someone who manages billing to buy a pack, or invite the person to a meeting instead, which is free.

Planning ahead for events#

When you create an event with an expected number of attendees, the event shows a pass estimate: the passes the event may need, your current balance and how many are missing. The estimate never buys anything by itself. See Events.

Where to find passes#

• Company administration › Visitors & Events › Visitors overview shows your Visitor Pass balance and the passes used this month.
• Visitor Passes in the same section shows the available passes, the pass lots with their expiry, the pass activity, and the store to buy a pack. Only people who manage billing can buy.
• Purchases appear in your invoices like any other HyoNova purchase.
