The booking page and the visitor's private link

Every company with Bookings has a public booking page at a HyoNova address. Visitors open it from a link you share, choose a service and a time, and book. They do not sign in and do not need a HyoNova account. After booking, each visitor gets a private link — the only key to their booking.

Your booking links#

There are two kinds of link:

Always copy the real link from HyoNova; it contains the correct booking address, your company's address name and the type's Link name:

• Bookings › Booking types — each type shows its public link with Copy and Open.
• Bookings › Page & widget › Share and embed — choose All services or one service and a Language, then copy the Booking link or choose Open the page.

A link to a type that is not Published does not open for visitors. The page cannot be previewed inside HyoNova; open it in a new tab to see what visitors see.

What the visitor does#

If another visitor took the time a moment earlier, the page reads That time was just taken. Please choose another one. and nothing is booked.

The page is in English or Arabic. It uses the language named in the link; otherwise your Default language; and when that is set to Follow the visitor’s browser, the language of the visitor's browser.

The private link#

After booking, the visitor reads: "Keep this link: it is the only way to change or cancel the booking. We also sent it to your email when email delivery is available."

With the link, and without signing in, the visitor can:

• see the booking and its state — Confirmed, Waiting for confirmation, Cancelled, Completed or Missed;
• Choose another time, if the booking type allows rescheduling and it is early enough;
• Cancel booking, if the type allows cancelling and it is early enough, with an optional reason;
• Join the meeting, for a booking in a HyoNova meeting.

When a change is no longer allowed, the page reads This booking can no longer be changed online. Contact the company.

How the link is protected:

• It is the only key. The booking reference and any identifier in an address open nothing. Someone who knows only the reference or the visitor's email cannot open the booking.
• HyoNova does not keep the link itself, only a fingerprint of its key. The key sits in the part of the address after #, which browsers do not send to servers, and the page removes it from the address bar after opening.
• It expires. The link works until 30 days after the booking's end.
• A lost link can be replaced. The host or a booking manager opens the booking and chooses Copy visitor link, then sends the new link to the visitor themselves.

Confirmation emails#

HyoNova emails the visitor the confirmation with their private link, and notices when the booking is moved, cancelled or about to start, when email sending is available. A booking never depends on the email: when confirmation emails are not being sent, Bookings shows it under Online bookings need attention, and the host copies the visitor link from the booking instead.

Joining the meeting#

For a booking that takes place in a HyoNova meeting, the private link shows Join the meeting. The visitor enters as a guest of that one meeting, in the host's name, and waits to be admitted like every meeting guest. See Guests.

This needs your company's meetings guest policy to allow external guests, and a plan that includes guests. Otherwise the booking still stands and the visitor reads The organiser will send you the meeting link.

Protection against misuse#

• A visitor's connection can make only a limited number of bookings per hour and per day, and one email address can hold only a few upcoming bookings with your company at a time. Above that the page reads Too many attempts. Please try again later. or You already have several upcoming bookings here. Cancel one before booking again.
• Sending the same booking twice — for example by pressing the button again on a slow connection — creates one booking.
• The booking page cannot be placed in a frame on another website. Only the widget can, and only on the websites you allow.

Privacy#

• No account. Visitors do not sign in, and the page asks only for what the booking type needs.
• What HyoNova stores: the visitor's name, email and the optional details they entered, their time zone, and the booking itself.
• Who sees it: the booking's host and booking managers. Other members see the booking without the visitor's details.
• What visitors see of you: free start times only — never a host's calendar, and never the reason a time is missing.
