Subscription and plan changes

Choose a plan and pay, upgrade or downgrade, cancel at the end of the period or resume, and what happens during a trial and after a failed payment.

A payment method appears only after HyoNova has set up its payment provider.

Your company has one HyoNova subscription. It records the plan, the price you pay, the number of seats, the current period and how it is paid. Everything on this page happens in Company administration › Billing › Plan and needs permission to manage billing (Owners by default). Admins can read it.

Your company data is never deleted because of billing. Billing pages always stay open to the people who can read billing, whatever the status.

Choose a plan and pay#

  1. Complete the billing profile. A billing name and email are required before any payment. See Billing profile.
  2. Choose a plan and a price. Plan lists the plans your company can choose, each with its prices — per month or per year. For a per-seat price the quantity is at least the number of seats your company already uses. Before you pay, checkout shows the plan, seats, unit price, subtotal, discount, tax where the payment provider applies it, total, billing interval and next renewal. At 100 seats or more (by default), self-service checkout stops and Enterprise is arranged with HyoNova sales.
  3. Choose how to pay. Only the methods that are ready for your company are offered. See Payment methods.
  4. Pay. For card and crypto you continue on the payment provider's secure page. For bank transfer HyoNova issues an invoice with the bank details and a payment reference; see Pay by bank transfer.
  5. Come back to HyoNova. After the payment page you return to Plan. The subscription becomes active when HyoNova receives the payment provider's confirmation, or when HyoNova confirms your bank transfer — not because the payment page said "thank you".
  • One payment at a time. While a payment is in progress, starting another one shows that a checkout is already in progress. Finish it, or cancel it to choose another method. A crypto payment that has already been detected cannot be canceled while it is being confirmed.
  • Nothing is charged twice. A repeated request returns the payment already started instead of creating a second one. If a payment provider cannot be reached, HyoNova may use another configured provider for the same method, but only before any payment page was created.
  • Discount codes. If HyoNova gave you a code, enter it when you choose the plan. A code that is not valid for the chosen payment method is refused.

During a trial#

  • Switching to another plan during a trial is free and immediate; the paid start is the payment above.
  • Three days before the trial ends, people who manage billing get a reminder.
  • Nothing is charged when the trial ends. A company with 10 seats or fewer continues automatically on Free with all its data; a larger company is asked to choose a plan, keeps its data, and its owners and billing managers keep access to billing. See Seats, trial and the Free plan.
  • HyoNova can extend a trial; you are told when it does.

Upgrade, downgrade or change the billing interval#

Before you confirm, HyoNova shows what the change will do: whether it is an upgrade or a downgrade, when it takes effect, and the current and new amounts from the price list.

ChangeCard subscription (renews automatically)Bank transfer or crypto subscription
Upgrade (higher monthly value)Takes effect now. The payment provider charges or credits the difference for the rest of the period (proration).Takes effect at the end of the current period; the next invoice uses the new plan.
DowngradeScheduled for the end of the current period.Scheduled for the end of the current period.
Monthly ↔ yearlyScheduled for the end of the current period.Scheduled for the end of the current period.
  • A scheduled change is shown on Plan with its date until it applies.
  • Changing currency is not a plan change: it needs a new subscription after the current period.
  • A plan with a member limit lower than the seats your company uses cannot be chosen until members are removed.
  • HyoNova never adds a charge of its own for a plan change; differences come only from the payment provider's proration. Promotional Mail and Sign capacity of a higher plan is added after its payment is verified, as the difference to that plan's ceiling only; see Mail and Sign capacity.

Cancel or resume#

  • Cancel at the end of the period (the default). Everything keeps working until the paid period ends. Until then you can resume, which removes the scheduled cancellation. Cancelling does not refund the rest of the period automatically.
  • Cancel immediately is available only when HyoNova allows it for companies; otherwise subscriptions always end at the end of the paid period.
  • When the subscription ends, a company with 10 seats or fewer continues on Free; a larger one has its paid features stop until it chooses a plan. Your company data stays, and you can subscribe again from Plan.

When a payment fails#

  1. The subscription becomes past due. For card subscriptions the payment provider retries the charge. For bank transfer and crypto, a renewal invoice that is still unpaid when the period ends makes the subscription past due.
  2. A grace period of 7 days starts. Paid features keep working until the grace period ends. The date is shown in the billing alert and in the email to people who manage billing.
  3. After the grace period, paid features pause. Data and billing stay available.
  4. Pay to recover. When the payment arrives — a successful retry, an updated card, a paid renewal invoice or a confirmed bank transfer — the subscription is active again and you are told.

Seats#

A seat is counted for every member who holds an assigned seat and is active, invited or pending. Guests, external signers, support customers, removed members and suspended members never use a seat. Visitors never use a seat either: Office and Event Visitors use Visitor Passes instead, and meeting-only guests need none. Added seats are billed immediately — prorated by the payment provider where it supports it, or on a HyoNova seat-change invoice for bank transfer and crypto subscriptions. Removed seats lower the bill at the next renewal, without an automatic refund. HyoNova never removes a member because of billing. See Seats, trial and the Free plan.

Notifications#

People who manage billing get an in-app notification and an email, in the billing profile's language, once per event: trial started, ending, ended or extended, moved to Free, subscription active, renewed, recovered, plan changed or scheduled, cancellation scheduled, canceled, resumed, past due, grace period ending, paused or restricted, payment received or failed, invoice issued, due, overdue or paid, bank transfer confirmed, refund completed, credit issued, renewal invoice ready, and capacity added, expiring or running low.
