Money actions need billing.manage, a step-up and a reason, and are audited. Refunds and bank confirmations carry a request key, so repeating the same action returns the first result instead of acting twice.

Refund a payment#

  1. Open the payment in Payments & billing › Payments. Refund appears only for a received payment that still has a refundable amount, and only when its provider can refund or record refunds.
  2. Choose the amount. Leave it empty for a full refund of what remains; enter an amount for a partial refund. Only one refund per payment can be open at a time.
  3. Give a reason and confirm.

What happens next depends on the provider:

ProviderRefundWhen it counts as done
FastSpringSent to FastSpring (full, or partial)When FastSpring's refund event arrives; until then the refund shows processing
Triple-ARecorded as manual requiredAfter you complete it with the transaction reference
Bank transferRecorded as manual requiredAfter you send the money back and complete it with the bank reference

When a refund completes, the payment shows refunded or partially refunded, and the company's billing people are told. Refunds made directly in a provider's dashboard arrive as events and are recorded too.

Capacity packs. For the payment of a Mail, Sign or Serene pack, the refundable amount is limited to the pack's unused share. When the refund completes, the matching credits are removed from the pack's lot, once per refund. See Credit operations.

Confirm a bank transfer#

  1. Find the invoice. Open the open HyoNova invoice the payer quoted (by number or payment reference). Proof uploaded by the company is listed with it.
  2. Confirm the payment. Enter the amount received, the currency (must be the invoice currency), the date received, the bank reference, an optional note and a reason.
  3. Check the result. A partial amount leaves the invoice open with the rest due. The confirmation that completes the invoice marks it paid and activates or renews the company's subscription for the invoiced period.

An amount larger than what is due is refused. The company's billing people are told about each confirmation.

Void an unpaid invoice#

Only a HyoNova invoice with nothing paid can be voided (with a reason); open checkouts on it are canceled. Payment provider invoices are never voided in HyoNova.

Issue a credit note#

From a company's billing, issue a credit of type service credit, proration or goodwill, with an amount, a currency, an optional invoice (same currency) and a reason. The company is told. A credit note is a record: HyoNova does not deduct it from later invoices automatically.

Other subscription actions#

From a company's billing you can also change the plan (same timing rules as for owners: card upgrades now with provider proration, everything else at the end of the period), cancel at the end of the period or immediately, resume a scheduled cancellation, extend a trial up to the configured maximum, and re-send one billing notice.
