An event brings many visitors into one part of your HyoNova world at once. Each admitted attendee uses one Visitor Pass; registering, being invited and not coming cost nothing.

Event types#

Town hall, Client event, Product launch, Celebration, Conference, Training, Webinar, Recruiting, Partner event, Open house or Custom. The type describes the event; the rules are the same for all of them.

Create an event#

Owners, admins and managers create events in Company administration › Visitors & Events. An event has:

SettingWhat it does
Name, description, typeWhat attendees see at the entrance
Start and end, time zoneAn event lasts at most 7 days
VisibilityPublic (anyone with the event link can register) or By invitation (only invited people can enter)
Registration fieldsEmail, company, job title, phone — the name is always asked
ApprovalAutomatic, or Host approves each attendee
CapacityRegistered, admitted and inside-at-once limits (see below)
Expected attendeesFor the Visitor Pass estimate
Visit lengthHow long each attendee may stay (4 hours unless changed; between 1 and 8 hours, and never past the event's end)
Areas and seatsThe floors, rooms, zones and seats of the event — attendees cannot go anywhere else
HostWho hosts the attendees and receives their messages
Meeting, camera, microphone, chat with the hostWhat attendees may use. Attendees reach a meeting when the host shares it in the visit chat; see Files, meetings and signatures

Only areas and seats that exist in your published office can be chosen. Creating or changing an event issues a fresh event link; the previous link stops working.

Public events and registration#

With a public event link, a person can register in advance with their name and the fields you ask for, and receives a personal entrance link — by email when they gave an address, and on screen. Registering is free, and the registration count helps you plan. People can also come straight in with the public link while the event is open; the entrance then asks for their name, email and company.

Invitation-only events#

For an invitation-only event you invite people by email address. Each invitee gets a personal link; nobody can enter without one.

Capacity#

LimitCounts
RegisteredRegistrations and invitations that are not cancelled
AdmittedAttendees admitted over the whole event
Inside at onceAttendees in the event at the same moment

When a limit is reached, the next person is told the event is full (or full right now). Plans cap event size when you create or edit an event: the admitted, inside-at-once and expected numbers can be up to 200 on Basic and 1,000 on Business and Enterprise; contact HyoNova for larger events.

Admission (check-in)#

Doors open 30 minutes before the start; nobody enters after the end. An attendee opens their link, completes the reception and is admitted — automatically or after the host approves. Admission is the check-in: the attendee list marks them admitted with the time, and one Visitor Pass is used.

Visitor Pass estimate#

With expected attendees set, the event shows how many passes it may need, your current balance and how many are missing. It is only an estimate: the estimate never buys passes, and only attendees who are actually admitted use one.

Start and end#

  • An event starts automatically at its start time, or when you select Start event early.
  • It ends automatically at its end time, or when you select End event. Cancel event closes an event that will not take place.
  • Ending or cancelling ends every attendee's visit at once and stops the event link. The attendee list, the history and the passes used stay.

Attendees#

Attendance shows registered, invited, admitted, in the world, left and declined counts and the passes used. People who registered or were invited but have not been admitted count as Not arrived yet while the event is ahead or running; once it has ended or was cancelled, they count as No-show.

The attendee list shows each person's name (the name they gave at the door, once they came), email and company when given, status (registered, invited, admitted), when they registered, were admitted and left. Export it as CSV for your own records; cells are written so spreadsheet programs never run them as formulas.

Good to know#

  • The event link is shown once, with a QR code for screens and printed invitations. If you lose it, rotate the link: the old one stops working.
  • Check-in is the admission itself; there is no separate desk scan.
